Overall Responsibility:
To be responsible for the day to day administration of the business, ensuring support is provided in all key areas detailed below. Office based in Bussage.

Key Responsibilities to include:
• Mortgage & Protection Administration
• Providing support to advisers with loading cases onto the CRM software and manage the submission process ensuring 100% accuracy
• Ensuring advisers have the correct financial documents from clients for checking
• Load and send applications to lenders as selected by advisors
• Ensure at all times that files are up to date and Lenders have the correct information and paperwork
• Manage each case on a daily basis, seeking information and data from customers
• Communicate between lenders and clients to ensure quick offers are issued and communicated throughout
• Complying with GDPR and other regulations
• Set up and manage the hard copy file to support the electronic version

Record Keeping
• Keep accurate records of all cases at Pre-App, App, Offer and Completion stages
• Keep the customer renewal tracker accurate, up to date and operational by loading each completed case into it and ensuring that someone in the business contacts a customer coming up for renewal
• Ensure that all customers are contacted annually, verbally or by mail

Marketing
• Assist Marketing Director with activity as required
• Input ideas at all times for leadership team to improve processes and bring in more business
• Ensuring all leads are logged and contacted straight away
• Take phone calls and book appointments

Accounting
• Use Xero, Receipt Bank and Auto Entry to pay bills and issue fee invoices (basic training can be supplied here)
• Keep records of Proc fees and load into Xero and pay staff commission earnings each time a case completes

Case Checking & Audit
• Work on the above functions with the aim of getting 75% Right First Time on MTG and PRO cases

General Administration
• Being first point of contact on the phone and directing enquiries accordingly
• Managing advisor diaries and arranging appointments
• Maintain and update HHH criteria spreadsheet
